How to bulk allocate credit notes in Xero (sales and supplier)
To bulk allocate credit notes in Xero, start by checking its native options. You can apply one credit note to several invoices for the same contact, and Xero improved credit note matching in bank reconciliation in 2026. A backlog across many credit notes still needs a matching plan. This guide covers the native route first, then Creditloom’s editable proposal for the backlog.
Start with Xero’s built-in options
For one credit note, Xero lets you open it and select multiple invoices for a single contact. Enter the amounts to apply, save, and check the remaining balances. For a small number of credits, this native route may be all you need. Xero’s credit notes guide explains allocation and reconciliation.
Xero improved its credit note experience in 2026. Its 2026 credit notes update includes credit notes in bank reconciliation. The 20 March 2026 Find & Match completion update confirms the feature reached all customers. Reconciling records a payment transaction against the credit note, similar to a cash refund; it does not automatically allocate it to a specific invoice or bill.
Applying one credit across several invoices and reconciling a bank statement are useful native options. Matching a backlog of many credit notes to outstanding invoices is a separate job. The bulk allocation request still shows 496 votes as of 25 Oct 2026; its September 2025 response is historical, rather than a promise about Xero’s future roadmap.

Before you start: decide the pairs
Do not open a credit note until you know where it is going. Work from a list of the open credit notes and a list of the invoices that are still unpaid, and apply four rules to every pair.
- Same contact. A credit note goes against that contact’s documents only.
- Same currency. A credit in one currency does not go against an invoice in another.
- Same side. A sales credit note goes against a sales invoice. A supplier credit note goes against a bill, which has its own guide.
- The smaller amount. Each pair takes the smaller of the credit left and the amount due. What is left over stays open for the next pair.
Then choose an order. The usual default is the oldest credit against the oldest invoice. An invoice with exactly the same amount as the credit closes both documents cleanly. If the credit note’s reference quotes an invoice number, that invoice is probably the intended target. Creditloom’s three strategies are these three orders. For one credit that has to be shared between several invoices, see the guide to applying one credit note to multiple invoices.
The manual method
- Pick a credit note with credit left. Start from your list of credit notes (check the menu in your Xero for where it sits) and choose one that is approved and not yet fully used.
- Open it and find the allocate option. The label and the position depend on your version of Xero. If you cannot see it, search Xero’s help for how to apply a credit.
- Choose the invoice. Pick one for the same contact and the same currency, still unpaid.
- Enter the amount. Use the smaller of the credit left on the credit note and the amount due on the invoice.
- Save, then check both documents. The credit note should show less credit left, and the invoice a smaller amount due.
- Move to the next pair. Keep your own list of the credit notes you have finished, so you can tell which ones you have not reached.
Where it goes wrong
- Amounts. An amount above the credit left or above the amount due is an error. An amount below leaves a remainder that you have to chase later.
- The wrong pair. Nothing stops you picking the wrong invoice of the right contact. The mistake shows up when someone queries a statement.
- Currency. A credit and an invoice in different currencies do not pair. Check the currency of both before you start, not after the first rejection.
- Locked periods. An allocation dated in a period you have locked will not go through. Look at your lock date before you plan the pairs.
- Leftovers. A credit larger than the first invoice has to be finished on the next one. Write down what is left after every save.
- Review across credits. Check each saved allocation against your intended pairs. A backlog spanning many credit notes needs a record of what you have already applied.
- Time. The work grows with every pair. Time yourself on five allocations and multiply by the number you have.
What Xero says about bulk allocation
Xero’s users have asked for this. On Xero Product Ideas, the request Credit notes- bulk allocation has 496 votes and the status Accepted, and was shared on 29 Nov 2017 (as of 25 Oct 2026). On 19 Sep 2025 a Xero Community Manager replied that bulk allocations are “not planned for the short term”. A user on that page describes a workaround that stays manual: open the credit note and select multiple invoices for one contact. That saves clicks on one credit note. It does not help when there are many credit notes.
What Xero’s API allows
Xero’s published API description (XeroAPI/Xero-OpenAPI, as of 25 Oct 2026) lists a call that creates allocations on a credit note, PUT /CreditNotes/{CreditNoteID}/Allocations, and a call that deletes one, DELETE /CreditNotes/{CreditNoteID}/Allocations/{AllocationID}. Creditloom uses the first to write allocations and the second for Undo.
The Creditloom way
Creditloom is an independent app that works with your Xero organisation. It applies the four rules above to every open credit note at once and shows you the result first.
- Connect and scan. Sign in with Xero and pick the organisation. The free scan reads the open credit notes that still have credit left and the outstanding invoices and bills.
- Pick a strategy. Oldest first, exact amount first, or by reference. The table lists each row with the credit note, the invoice or bill, the amount and why it matched. Untick rows, or lower the amount on a row.
- Check. Press Check N allocations. Creditloom validates the ticked rows against the scan (amount guards and lock date) and shows an estimate of the Xero calls the job needs. Nothing is written yet.
- Apply. Type
ALLOCATEand the number of rows. The job runs in small steps and carries on if you close the tab. - Review. You get the outcome of every row, a result CSV and an Undo button.
Before each credit note’s allocations are written, Creditloom reads the credit note and its invoices from Xero again. A row is skipped, not reduced, if the amounts are lower than in the preview, a document is no longer approved, or the contact or currency differ. Rows dated on or before the lock date are skipped and reported as a locked period. If Xero’s lock date could not be read, the preview warns you; check the organisation’s lock settings before confirming. Xero may also refuse an Undo, for example after a period is locked; the row outcome reports the failure.
The scan, the preview and the CSV of the preview are free, and so are the first 5 allocations in each organisation. After that a $39 pass covers one organisation for 7 days and up to 300 allocations, and $29 a month per organisation has no Creditloom allocation limit (Xero API limits still apply); or $290 per year, charged in full upfront and renewing yearly until cancelled; all prices are excl. VAT/sales tax. See pricing for the details.
Questions
Does Creditloom match across contacts or currencies?
No. Matches are made per contact and per currency only. A credit note with credit left and no open invoice for the same contact and currency is listed as unmatched, with the reason. Nothing is invented to use it up.
Can I try it on a few credit notes first?
Yes. Run the scan, pick a strategy, untick every row except a few, and check those. The first 5 allocations in each organisation are free, and the preview is free and unlimited.
What if the period is locked?
Creditloom reads the organisation’s period lock date and year-end lock date. A row whose allocation date is on or before the later of the two is skipped and reported as a locked period. Nothing is forced.
Can I undo it?
Yes, for 30 days after the job. Undo deletes only the allocations Creditloom created in that job, after reading each credit note again. It is free and does not use up your allocation allowance.
Does it handle supplier credit notes too?
Yes. A supplier credit note is matched only to a bill, and a sales credit note only to a sales invoice. The guide to allocating supplier credit notes to bills has the details.
