Terms of service
The agreement between you and Atesen Software for the use of Creditloom. Last updated 28 October 2026. These terms cover the service at creditloom.atesensoftware.com.
These terms are written by the operator to describe how the service actually works. They are not legal advice. If anything here is unclear, ask us before you pay.
1. Who these terms are with
The service is provided by Samet Ateşen, trading as Atesen Software, Sakarya, Türkiye (“we”, “us”). “You” means the person using the service and, if you use it for an employer or a client, that organisation as well. You confirm you are allowed to act for them. By connecting an organisation you accept these terms.
2. What the service does
Creditloom applies open credit notes to outstanding invoices and bills in the accounting organisation you connect, and only when you tell it to. It works through the Xero API, using the connection you authorise, and it does nothing outside the permissions you grant. In Xero’s terms, applying a credit note to an invoice or bill is called an allocation.
The service works in these steps:
- it scans the organisation and reads the approved (AUTHORISED) credit notes that still have credit left, and the approved invoices and bills that still have an amount due;
- it proposes matches by the strategy you choose (oldest first, exact amount first, or by reference) and shows them in a preview table. Nothing is written to Xero at this stage;
- you untick rows or lower amounts, and press Check, which validates the ticked rows against the scan and stores a preview. Nothing is written to Xero at this stage either; and
- you type the confirmation phrase, and the service writes the allocations to Xero in small steps.
Matches are made per contact and per currency only. A sales credit note is matched only to a sales invoice, and a supplier credit note only to a bill. Creditloom does not match a credit note to a document of another contact or another currency.
Before it writes, Creditloom reads the credit note and every invoice of the batch from Xero again. It skips a row, and lists it with the reason, when the amounts are lower than in the preview, a document is no longer approved, the contact or currency differ, or the allocation date is on or before the organisation’s period lock date or year-end lock date. If Xero still rejects a row, the row is marked failed with Xero’s message.
3. Your selection and your confirmation
You choose the strategy, the rows and the amounts, and you are responsible for that choice. Before any run, the service shows a preview listing each proposed allocation. To start the run you type the confirmation phrase ALLOCATE followed by the number of rows, and the number is checked. Doing so is your instruction to proceed.
You are responsible for checking the preview, for downloading the result file, and for making sure the allocations are appropriate for your business, including any approval, lock date or audit policy that applies to you.
4. Allocations change your books
Writing an allocation changes the credit left on a credit note and the amount due on an invoice or bill in Xero. The change is recorded in your Xero organisation and can appear in your reports. Creditloom keeps the allocation ID of every row it writes, so that you can use Undo (clause 5). By typing the confirmation phrase you accept this for the rows in that preview.
5. Undo
- Undo is available for 30 days after a job. It deletes only the allocations that Creditloom created in that job, after reading the credit note again to confirm each allocation still exists.
- An allocation that was already removed in Xero is reported as already gone.
- If Xero rejects a delete, for example because the period is locked, the row is reported and nothing is forced. You can then remove the allocation in Xero yourself.
- Undo does not use up your plan’s allocation allowance.
- Undo needs the organisation to be connected. After 30 days, and once you disconnect the organisation, Undo is no longer possible. Download the result file if you want to keep a record.
6. Xero and no guarantee of its behaviour
Creditloom depends on the Xero API. Xero sets call limits (per minute and per day), and may change, restrict or withdraw API features, or have outages. We do not control Xero and we do not guarantee how its API behaves. A job may pause, skip rows or fail because of that. Where a step cannot be verified, Creditloom stops that row rather than guess, and reports it.
7. Your account and your conduct
- Keep your sign-in secure, and disconnect organisations you no longer work with.
- Do not use the service to break the law, to breach your agreement with Xero, or to change records you have no authority over.
- Do not try to get around limits, probe other customers’ data, or run automated load against the service beyond normal use.
8. Plans and payment
- Our order process is run by our online reseller Paddle. Paddle is the seller and merchant of record for all orders. It takes the payment, issues the invoice, handles VAT and sales tax, and handles billing questions and refunds together with us.
- Prices exclude VAT and sales tax. Where tax applies, Paddle adds it at checkout and shows the total before you pay.
- An allocation is one credit note applied to one invoice or bill: one row that finished. Rows that were skipped or failed are not counted, and neither is Undo.
- Free: scan, preview and the CSV of the preview, without limit, and the first 5 allocations in each organisation. The 5 allocations do not renew. It is provided as it is, with no commitment on either side, and we may change or end it at any time.
- Pass: $39 once (excl. VAT/sales tax), for one organisation, valid for 7 days from purchase, for up to 300 allocations. It does not renew. Unused days and unused allocations expire when the 7 days end.
- Annual: $290 per organisation per year (excl. VAT/sales tax), charged in full upfront, with the same unlimited allocations as Monthly, paced by Xero’s daily call cap. It renews yearly until you cancel. Save $58 before tax compared with 12 monthly payments. Cancel at any time to stop the next renewal; access continues until the paid period ends. We do not refund part of an annual period that has begun, subject to your legal rights and Paddle’s buyer terms.
- Monthly: $29 per organisation per month (excl. VAT/sales tax), charged in advance, with unlimited allocations, paced by Xero’s daily call cap. It renews each month until you cancel. You can cancel at any time. Cancelling stops the next renewal and the plan works until the end of the period you have already paid for. We do not refund part of a period that has begun.
- If a payment fails and is not fixed, access to the paid features stops.
- We may change prices with at least 30 days’ notice by email. The new price applies from your next renewal, and you may cancel before it.
- Refund of a pass: if you have not applied any allocations since buying the pass, you may ask for a full refund within 7 days of purchase and we will give it. Once allocations have been applied with the pass it is not refundable. See the refund policy.
9. Availability
We aim to keep the service available but we do not promise any particular uptime. We may take it down for maintenance, and we may stop a job or switch off job processing entirely if we believe that is needed to protect customer data.
10. No warranty
The service is provided “as is” and “as available”, without warranties of any kind, whether express or implied, including any implied warranty of merchantability, fitness for a particular purpose, or non-infringement. We do not warrant that the service will be uninterrupted or error-free, or that it will produce a particular accounting outcome. Nothing here excludes a warranty that cannot be excluded under the law that applies to you.
11. Limitation of liability
To the fullest extent permitted by law, we are not liable for indirect, incidental, special or consequential loss, or for lost profit, lost revenue, lost data or lost goodwill, however caused.
Our total liability to you, for all claims taken together, is limited to the total fees you actually paid us for the service in the 12 months before the event that gave rise to the claim. If you have paid us nothing, for example on the free plan, our total liability is limited to zero, and your remedy is to stop using the service.
Nothing in these terms limits liability for fraud, or for anything else that cannot be limited under the law that applies to you.
12. Your data
What we collect, why, how long we keep it and how to have it deleted is set out in the privacy policy, which forms part of these terms.
13. Termination
- By you: disconnect your organisations and stop using the service, at any time, for any reason. Cancel a monthly or annual plan through the billing portal in the app, or by emailing us.
- By us: we may suspend or end your access if you breach these terms, misuse the service, do not pay, or if we are required to by Xero or by law. Where it is reasonable, we will warn you first and give you time to fix the problem.
- On termination: jobs stop, tokens are deleted, and the retention periods in the privacy policy run their course. Fees already paid for a period that has begun are not refunded, except where clause 8 says otherwise.
- Clauses 4, 6, 10, 11 and 15 survive termination.
14. Changes to these terms
We may update these terms. The “last updated” date above changes, and for a material change we will email you before it takes effect. Continuing to use the service after that counts as acceptance. If you do not accept, cancel and stop using it.
15. Governing law and jurisdiction
These terms are governed by the laws of the Republic of Türkiye. The courts and enforcement offices of Sakarya, Türkiye, have jurisdiction over any dispute arising from them. If you are a consumer, this does not take away the protection of the mandatory consumer law of the country where you live, and you may also bring a claim in the courts there.
16. General
- These terms and the privacy policy are the whole agreement between us about the service.
- If a clause turns out to be unenforceable, the rest stays in force.
- Not enforcing a clause once does not waive it.
- You may not transfer your rights under these terms without our written consent. We may transfer ours if the business is sold, and will tell you.
- We are independent. Creditloom is not affiliated with, endorsed by, or certified by Xero, and nothing in these terms makes us a partner or agent of Xero.
