How to allocate supplier credit notes to bills in Xero (matched per supplier)

A supplier credit note reduces what you owe that supplier, but only once it is applied to a bill. Until then the credit sits open while the bill still shows the full amount due, and the next payment run pays the gross amount. This guide covers how to match supplier credit notes to bills by hand, what to check against the supplier’s statement, and how Creditloom does a whole pile of them with a preview first.

Start with Xero’s built-in options

For one credit note, Xero lets you open it and select multiple invoices for a single contact. Enter the amounts to apply, save, and check the remaining balances. For a small number of credits, this native route may be all you need. Xero’s credit notes guide explains allocation and reconciliation.

Xero improved its credit note experience in 2026. Its 2026 credit notes update includes credit notes in bank reconciliation. The 20 March 2026 Find & Match completion update confirms the feature reached all customers. Reconciling records a payment transaction against the credit note, similar to a cash refund; it does not automatically allocate it to a specific invoice or bill.

Applying one credit across several invoices and reconciling a bank statement are useful native options. Matching a backlog of many credit notes to outstanding invoices is a separate job. The bulk allocation request still shows 496 votes as of 25 Oct 2026; its September 2025 response is historical, rather than a promise about Xero’s future roadmap.

Why apply the credit before you pay

A bill keeps its full amount due until a credit is applied to it. If you pay the bill first, you pay the gross amount and the supplier’s credit is left waiting for a later bill. If you apply the credit first, the amount due on the bill is already the net figure, and the payment matches what the supplier expects. The order is the only difference, and it is why this job belongs before the payment run.

Rules for matching supplier credits

Pick one strategy: oldest first, exact amount first followed by oldest first, or reference matches followed by oldest first. Reference matches only can disable that fallback. These are separate choices; check the proposed rows against the supplier statement.

The manual method

  1. Start from the supplier’s statement. It lists the credits and the bills the supplier thinks are open. Note the supplier’s own reference on each credit.
  2. Open the supplier credit note. Choose one that is approved and still has credit left. Check your list of credit notes in the menu of your Xero for where to find it.
  3. Find the allocate option. The label and position depend on your version of Xero. Search Xero’s help for how to apply a supplier’s credit if you cannot see it.
  4. Choose the bill. Pick a bill from the same supplier in the same currency, still unpaid. If the credit’s reference quotes a bill number, start with that bill.
  5. Enter the amount. Use the smaller of the credit left and the amount due on the bill.
  6. Save, then check both documents. The credit note should show less credit left, and the bill a smaller amount due.
  7. Compare with the statement. Once every credit is applied, the bills you owe should agree with the supplier’s statement. Pay after this step, not before.

Where it goes wrong

What Xero says

As of 25 Oct 2026, the Xero Product Ideas request Credit notes- bulk allocation has 496 votes and the status Accepted. On 19 Sep 2025 a Xero Community Manager replied that bulk allocations are “not planned for the short term”.

Xero’s published API description (XeroAPI/Xero-OpenAPI) lists PUT /CreditNotes/{CreditNoteID}/Allocations to create allocations on a credit note and DELETE /CreditNotes/{CreditNoteID}/Allocations/{AllocationID} to delete one. Creditloom writes allocations with the first and uses the second for Undo.

The Creditloom way

Creditloom reads supplier credit notes (type ACCPAYCREDIT in Xero’s API) and bills (type ACCPAY) with the same scan it uses for sales credit notes and invoices. It keeps the two sides apart.

  1. Scan. Connect the organisation. The free scan reads the approved supplier credit notes with credit left and the approved bills with an amount due.
  2. Choose a strategy. By reference is the one to try first when your suppliers quote bill numbers. Exact amount first and oldest first cover the rest.
  3. Edit. Each row shows the supplier credit note, the bill, the amount and why it matched. Untick a row or lower an amount.
  4. Check. Press Check N allocations. Creditloom validates the ticked rows against the scan, including the lock date, and shows an estimate of Xero calls.
  5. Apply. Type ALLOCATE and the number of rows. Then run your payment run on the net amounts.

Before each credit note’s allocations are written, the credit note and its bills are read from Xero again. A row is skipped, not reduced, if the amounts have gone down since the preview, a document is no longer approved, or the supplier or currency differ. Credit notes with no open bill for the same supplier and currency are listed as unmatched with the reason.

The scan and the preview are free, and so are the first 5 allocations in each organisation. After that a $39 pass covers one organisation for 7 days and up to 300 allocations, and $29 a month per organisation has no Creditloom allocation limit (Xero API limits still apply); or $290 per year, charged in full upfront and renewing yearly until cancelled; all prices are excl. VAT/sales tax. See pricing.

Questions

Can a supplier credit note go against a sales invoice?

Not in Creditloom. A supplier credit note is matched only to a bill, and a sales credit note only to a sales invoice. Both kinds are listed in the same scan, and neither is ever matched to the other side.

How does matching by reference work?

The first pass pairs a credit note with a bill when the credit note’s reference equals the bill’s number or reference, or contains the bill number as a whole word. Bill numbers shorter than 4 characters are not used for the contains test. A switch, reference matches only, skips the second pass, which is oldest first.

What if the supplier credit is bigger than the bill?

The row takes the smaller amount, so the bill is covered and the rest of the credit stays on the credit note. The next row for the same supplier and currency uses what is left. If no open bill remains, the unused credit stays in Xero for a later bill.

Does it pay the bills?

No. Creditloom only applies credit notes to bills. It does not create payments or touch your bank data, and it asks Xero for no payment or bank access.

Can I undo it?

Yes, for 30 days after the job. Undo deletes only the allocations Creditloom created in that job. It is free. If the period has been locked since, Xero may refuse the delete, and that row is reported.
